All requests for buses for trips go though the transportation office. In an effort to do this job in a cost effective manner, we need your paper work in our office at least 10 days in advance of your scheduled trip. Once the paper work reaches our office, we need to get it approved by the Business Administrator, obtain prices and arrange for the buses. This process can take up to a week. Please feel free to e-mail or call with any questions before you schedule your trip. A heads up from you to us can save you time and money. If you are requesting a Charter Bus in March, April or May, please be aware that this is the busiest time of year for these buses and the companies do these trips on a first request basis. The earlier the request the better your chances of having a vehicle available are. We have some trips that are scheduled for May, already booked with Charter Companies. These are the only trips that are now guaranteed for that month.
For the use of district buses, the requests must follow the time schedule that district buses are available. District buses are available between 9:15 A.M. and 1:45 P.M. All district buses transport for the High School, Helen Morgan and either Alpine or Sparta Middle School. This makes the buses unavailable in the early morning (before 9:10 A.M. at Alpine) and after 1:45 (High School dismissal at 2:20 P.M. buses line up at 2:10 P.M.).
Those trip requests that are not budgeted and requiring school buses either early in the morning or after 1:45 P.M. are sent to contractors for quotes. The contractors are asked to supply a price for buses, we then send you the prices and it is up to you to contact the contractor and order the buses. Again there are only so many buses available during this time and the earlier the request the better your chances of obtaining buses for the trip are. Contractors base the cost upon the number of hours and the availability of buses (busier times of year, higher costs).
